Managed IT Services Proposal

IT services built around your two Sharp copiers — and the whole office behind them.

A per-user IT service for the National Shrine of Saint Rita of Cascia, anchored by Sharp Synappx Manage for your copier fleet: live visibility, centralized control, enforced security, automatic firmware updates, and power management — plus the everyday IT support that keeps scan-to-email, printing, and new equipment connections working when the network changes underneath them.

Equipment replacement promiseWe can install updated printers — the only cost is delivery and maintenance. If a machine is not operable, we will replace it free of charge.
On both plans, an audit will be recommended before the program starts — so the price shown here is subject to change after the audit. The audit reviews your users, network, and equipment so the final price reflects what your office actually needs.
The difference: for $88/month more at 4 users, Full-Scope adds Microsoft 365 Business Premium licensing and full managed IT coverage for the whole office — not just the copier fleet.

Desktop printers — a possible update, on us

Alongside the equipment replacement promise in each plan above.

We may recommend updating your desktop printers

As part of getting started, we may recommend replacing aging desktop printers with updated units. If you approve the update, the printers are supplied free of charge. The only cost is the IT connectivity work for those units — connecting them to your network and configuring them for your users — which is billed before the program starts. No charge for the hardware itself.

Real-time visibility

Every enrolled device reports status, meters, and supplies continuously — problems surface before your staff notices them.

Centralized fleet control

Both copiers are configured, adjusted, and troubleshot from one console — no walking settings machine to machine.

Security enforcement

Security policies are pushed and verified across the fleet, with user authentication and 256-bit AES encryption on device data.

Automatic firmware updates

Firmware is monitored and updated on a defined cadence, keeping security patches current without a service visit for each release.

Power management

Customized power settings and rules trim energy use — devices sleep when the office is closed and wake ready for the day.

Fleet health reporting

Usage and health data roll up into clear reporting, so volume trends and device condition are never a guess.

This console is a preview built from recent meter history for both devices — it becomes the live view once the fleet is enrolled at onboarding. Supply alerts like the cyan notice above are exactly what Synappx Manage flags to Cloud Park Global under this service; toner itself is supplied under your existing Reliant maintenance agreement, detailed below.

What’s covered

Tap a section to expand it. All sections print in the PDF copy.
Copier fleet management — Synappx Manage
  • Real-time visibility into both Sharp copiers — device status, meter counts, and supply levels as they happen.
  • Centralized fleet control — settings and configuration managed from one console across the whole fleet.
  • Fleet health reporting — ongoing visibility into device condition, so issues are caught early instead of at the worst moment.
  • Power management — customized power settings and rules that reduce energy use and control device behavior after hours.
  • Automated data collection — meter and device data gathered automatically, with no manual readings to chase.
Help desk & support
  • Help desk access for covered users — one place to call or write when something stops working.
  • Remote diagnostics first — most issues are identified and resolved remotely, without waiting on a visit.
  • On-site escalation when needed — if a problem can’t be resolved remotely, it escalates to an on-site response.
  • Scheduled preventive checks — routine reviews of device and system health to head off failures before they interrupt the office.
Network support & new equipment
  • Scan-to-email support — configuration and troubleshooting when scanning to email stops working.
  • IP address changes after router changes — when a router is replaced or the network changes, device addresses are updated and printing and scanning are restored.
  • New machine and printer connection & setup — when a new copier or printer arrives, it is connected to the network, configured, and enrolled in fleet management.
  • Usage reporting — periodic reporting on print and scan volumes across the fleet.
Security & firmware
  • User authentication — controlled access to device functions, so sensitive documents aren’t left open to walk-up use.
  • 256-bit AES encryption — data stored on the devices is encrypted to a current, audited standard.
  • Security enforcement — fleet security settings are applied and verified centrally, not left to per-device chance.
  • Firmware updates on a defined cadence — updates are monitored and applied on schedule, keeping security patches and features current.
Term & renewal
  • Full-Scope IT Service runs on a 12-month term. The one-time implementation of $2,300 is split evenly: $1,150 at signing and $1,150 at go-live.
  • Core IT Service includes onboarding at no additional charge and carries no one-time fee.
  • Renewal: at the end of the initial term, service continues on a month-to-month basis at the then-current per-user rates unless either party gives written notice ahead of the renewal date. Per-user rates are reviewed at renewal — no mid-term changes.
  • User counts can change: users may be added at any time at the per-user rate shown in this quote; the monthly total adjusts from the following billing cycle.
  • IT services only: this quote carries no per-page or per-impression charges of any kind.

What this quote does not include — by design

Toner, drums, parts, and printer maintenance are not part of this quote. They remain covered under your existing Reliant maintenance agreement, which stays exactly as it is. This proposal is for IT services only — fleet management, network support, security, and help desk — layered on top of the maintenance coverage you already have. Nothing is double-billed, and there are no per-page charges.
